Central VA Penn State Alumni Association January 12, 2010 Meeting Minutes Attendees: Pete G_x_, John Boito__, Cheryl K__, Jeff C__, Nancy H _x_, Jo Lynne__, Dave A__, Bob H_x_, Dave S_x_, Tom A__, Patti W. __x__, Chelsea S_x_, Adam C__, Pete also welcomed Suzanne H, a new member, to the meeting. Agenda Items: Item: November 9, 2009 minutes Action: Approved Item: Toys for Tots Holiday Party Action: Consensus was that the holiday party was a great success. Approximately 60 attended. Noted plusses were the Marines in attendance, name tags, as well as the ever popular grapefruits donated by John Boito. Board members sharing duties such as greeting/handling coats as well as contributing to a pot luck food table were also noted as improvements. Nancy gave Pete a completed Event Planner that can be used for next year’s party. It included a suggestion from the Marines that we also encourage donated checks as an option for the Toys for Tots program. Preliminary expenses for the party came in just under $200.00. Item: Proposal to Revise Chapter Constitution Action: Bob Heilman presented an updated draft of the Constitution. Following a discussion on document details, Bob agreed to make these changes to his copy, then send this updated version to Chelsea and Nancy for finals edits. It was agreed a proposed Constitution, in final form, would be submitted via email to the Board for final approval at the next Board meeting. Item: Event Planner for the Adoption of Proposed Constitution and Annual Board Meeting Action: Bob Heilman presented his plans for the combined Board and Annual Meeting to be held on April 16, 2010. Discussion followed; all liked the concept but there was concern that the date was too close to the Annual Dinner (now named Annual Sports Update Dinner) scheduled in May. It was agreed that the “After Tax Filing Wine and Cheese Social” would be tabled for future consideration – perhaps in February 2011 - and that the Annual Meeting would be held at the same time as the Annual Sports Update Dinner in May. Item: Monument 10K Race Action: Pete is gathering names for both walker and runners; will also work on getting group photo as well as other fun publicity. Item: Communications Action: Chelsea, Pete, Dave S. and Dave A. (volunteered by Dave S.) will be getting articles to Jo Lynn for the next newsletter. Item: Membership Action: Dave S. reported 126 paid memberships for the year 2010, our best membership to date! Dave is currently working on sending out renewal letters.
